Who we are

Fosters Event Catering Limited ("Fosters", "we", "us") is responsible for the personal information described in this policy. We're a company registered in England and Wales (company number 15371007), registered with the Information Commissioner's Office under registration number ZB830798, and based at Aerospace Bristol, Hayes Way, Patchway, Bristol BS34 5BZ.

If you have any questions about this policy or how we use your information, email info@fostersevents.co.uk or call 0117 486 4788.

What information we collect

When you send an enquiry through our website, we collect your name and email address, plus any phone number and organisation or venue name you choose to give us. We also collect the type of enquiry you select and anything you write in your message.

When you agree for Fosters to be your caterer, we ask for your name, address and contact details. This lets us talk to you about your event and meet our legal obligations for invoicing.

If you get in touch about working with us, we collect the details you share with us, such as your experience and any CV you send.

We also collect information when you choose to complete a survey, give us feedback or enter a competition, and when you contact us directly by email or phone.

Please don't include sensitive information, such as health details, in a website enquiry. If we need dietary or allergy information for your event, we'll ask for it separately and only use it to cater safely for your guests.

How we use your information

We use your information to reply to your enquiry and talk to you about your venue or event. Our lawful basis for this is our legitimate interest in responding to people who contact us.

Once you book with us, we use it to plan and deliver your event, manage your account and send invoices. Our lawful basis for this is the contract between us, along with our legal obligation to keep financial records.

We use information from career enquiries only to consider you for roles at Fosters.

If you agree, we'll also email you about other services we think may interest you. Our lawful basis for this is your consent.

Marketing

We'd like to send you news about services that may be of interest. We'll only do this if you've said yes, and you can change your mind at any time by using the unsubscribe link in any of our emails or by contacting us. We never sell your information or share it with other companies for their own marketing.

Who we share your information with

Website enquiries are sent by email to our team at info@fostersevents.co.uk. To help us deliver your event, we may need to share your details with the venue it's taking place in, and with any system we use to take payments.

We also use trusted service providers to run our business, including our website host and Microsoft, which provides our email and cloud storage. They only process your information on our instructions and must keep it secure.

We don't share your information with anyone else unless the law requires us to.

How we store your information

We take great care to keep your personal information safe. Our databases are kept partly on a secure physical server within our locked offices and partly in the cloud with Microsoft Azure. Both have restricted access and several layers of security, including firewalls and passwords, to prevent unauthorised access.

Some of our service providers may store information outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as the UK's approved data transfer agreements.

How long we keep it

We only keep your information for as long as we need it. Website enquiries that don't lead to a booking are deleted after two years, and career enquiries after six months.

Customer accounts can be deleted at any time on request. Deletion from our customer database is immediate and permanent, but we must keep financial records for six years to comply with HMRC. Any data held on backups is deleted entirely within 7 days.

Cookies and links to other sites

Our website only uses the cookies and similar technologies it needs to work properly. We don't currently use analytics or advertising cookies. You can find out more in our cookie policy.

Our website links to other sites, such as LinkedIn and Google Maps. If you share an article on LinkedIn or open a map, those services handle your information under their own privacy policies.

Your rights

You have the right to ask for a copy of the information we hold about you, and to ask us to correct anything that's inaccurate or out of date. You can also ask us to delete your information, to limit how we use it or to stop using it, and you can withdraw your consent to marketing at any time.

To make a request, email info@fostersevents.co.uk. We'll respond within one month. Our full GDPR documentation and personal data register are available on request.

Making a complaint

If you're unhappy with how we've handled your information, please talk to us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
